General Information on Data Processing
We process personal data only to the extent necessary to provide a functioning website and our content and services. As a rule, personal data is processed only with your consent, for the performance of a contract or the taking of pre-contractual steps, or where processing is necessary for the purposes of our legitimate interests – in each case in accordance with the data protection law applicable in the individual case, to the extent it actually applies to the relevant processing.
Your personal data is erased or blocked as soon as the purpose of storage ceases to apply, unless statutory retention obligations require otherwise.
Recipients
Your data is stored on our server innerhalb der Europäischen Union (see the “Server” section). Recipients are our data center provider, within the scope of the limited technical access described there, and – where required by law – public authorities. Your data is not passed on to any other third parties, in particular not for advertising or sales purposes; any deviations are described in the “Processors and Hosting” and “International Data Transfers” sections.
Access from Third Countries (No Fixed Place of Business)
Our company is registered outside the European Union and does not maintain there any permanent business activity necessarily associated with that registration. The persons responsible on our side may therefore also access the data stored on our EU server from outside the European Union in order to handle your inquiry. As this is access by the same controller and no disclosure to another company takes place, this does not constitute a separate transfer of data to another company under the principles of the data protection law that applies in each case. Irrespective of this, the legal framework in the country of access may become relevant; we take appropriate technical and organizational measures to protect your data regardless of the location from which it is accessed.
Server
This website runs on a server whose hardware is provided by our data center provider. The server is located in a data center innerhalb der Europäischen Union. The operating system and all software running on it are administered exclusively by us; the credentials required for this are held exclusively by us. Within the scope of the hardware provision, the data center provider has technical access to the hardware management interface (IPMI), for example for maintenance purposes or in the event of a fault. To safeguard this limited residual technical access, a contractually secured data processing agreement is in place with the data center provider, where applicable.
When this website is accessed, our server automatically collects technical connection data (server log files), namely: IP address, date and time of access, page accessed, browser and operating system used, and referrer URL. This data is processed solely to ensure the trouble-free and secure operation of the website (legitimate interest in system security and stability, where applicable) and is automatically deleted after 14 days.
Contact Form
If you contact us via the contact form or by email, we process the data you provide (including name, email address, and message text) solely in order to handle your inquiry. The legal basis, where applicable, is the initiation of a contract, if your inquiry serves that purpose, and otherwise our legitimate interest in responding to inquiries, balanced against your interests. The data is deleted as soon as it is no longer required to handle your inquiry, at the latest once communication has concluded, unless statutory retention periods apply.
CRM / Follow-Up on Your Inquiry
Data collected via the contact form is additionally stored in our own, self-hosted CRM system in order to follow up on your inquiry during the further sales process – including after a trial or a demo of our offering. No transfer to external third parties takes place in this context, as the CRM system is located on our own server infrastructure. The legal basis, where applicable, is our legitimate interest in structured handling and follow-up of sales inquiries, balanced against your interests, or the initiation of a contract where the specific inquiry is already clearly aimed at concluding one. We store this data for the duration of the sales process and, if no contract is concluded, for no longer than 12 months after the last contact; the data is then deleted unless you object beforehand, contact is resumed in the meantime, or longer retention is required by law. Irrespective of any interim contact, we review at least every 36 months whether continued storage is still necessary. If a contract is concluded, further storage is governed by the applicable contractual and statutory retention obligations.
